Annual conference and plenary session

Your company conference, fully managed: what we handle

You prepare the content and we take care of the rest: venue finding and booking, event design and staging, sound, lighting and video, live streaming and interpretation, participant welcome, catering, ground transfers and speaker coordination.

For EIT Manufacturing, we chose the venue and put together a day of workshops, games and icebreakers, with a standing lunch, then drinks for informal networking.

Conference organisation in Paris, across France and abroad

A venue in Paris for teams based in the Paris region, a venue near a railway station for teams spread across France, a hotel in another country to take the whole company away: we choose each venue for your headcount, your teams’ journeys and the AV you need.

Coming from outside France, your participants can fly into Paris-Charles de Gaulle or Paris-Orly, and Eurostar trains link Paris Gare du Nord with London St Pancras International and with Brussels.

Organising a company conference in six steps, from brief to debrief

Whether your conference brings together 150 people or several hundred, the method stays the same: six steps we follow with you, and choices you make with your teams.

Steps 1 to 3: from message to stage

  • 1. Scoping: your objectives, leadership’s message, the audience, the headcount and the timing. We build the proposal line by line around your budget, so you can weigh each choice with your teams and procurement.
  • 2. Venue and agenda: a shortlist of venues to compare, each presented with the programme. For 3DS Outscale, the venue had to suit its IT needs and be close to its offices in Saint-Cloud. Cultural venue or classic conference room? See our venue comparison for a September back-to-work conference.
  • 3. Stage and materials: event design, speaker line-up and running order, visual identity and invitations. For AFCDP, we created the conference logo and rolled it out from brochures to posters and signage.

Steps 4 to 6: from set-up to debrief

  • 4. Set-up: we install the stage, screens and stands, then check every detail with you. In Agen, on one stop of Hanwha’s roadshow, the main hall was still taken by another event the day before: we set up the stands in an adjoining room, and adapted the layout of a very bright room so the screens stayed readable.
  • 5. Event day: your project manager and our team handle the welcome, the flow of speakers, the AV desk, meals and anything unexpected.

A more sustainable conference, option by option

In every proposal, our more sustainable options are marked with a heart, next to the standard options, and you keep the ones that suit you.

For a conference, they mainly cover travel, the venue and printed materials: a venue near your offices or a railway station, with plenary, breakout rooms and meals under one roof, digital invitations and programmes, live polls instead of paper, rented or reused set design, a seasonal menu. And when some of your teams are far away, a hybrid format can save them the journey.

Company kick-off in Paris: starting the year together

A kick-off marks the start of a new period: leadership sets the direction and everyone leaves with fresh momentum. It can be a morning in your offices, a day off-site or an evening event.

We run it as a compact conference: a short address from leadership, stories from the teams, a shared highlight, then time to socialise. In Paris, the wider Paris region or elsewhere in France, we find the venue, install the AV and, if the kick-off runs into the evening, take care of the drinks reception, dinner and entertainment.

A company conference, also called an annual conference or corporate conference, brings together a large group (employees, managers, a sales network or partners) to share leadership’s messages: results, strategy, the launch of a new year or a new organisation.

It is built around a plenary session, with a stage and speakers, often followed by breakout sessions, a meal or a corporate evening event. Unlike an industry congress or a trade show, it is organised for your own people and partners.

It depends on your goal. For one message to be heard at the same moment by several hundred people, a conference is the right format: a large room, a stage and carefully managed AV.

Plan a room equipped for streaming, an AV control room linking the stage to remote participants and, if needed, interpretation of the talks and translated slides.
